We require a candidate on a temporary basis which has efficient time management and communication skills and can complete tasks by the day closing.
Computer skills required:
-Basic/Intermediate Excel -Basic/Intermediate MS Access -Ability to mail merge reports (optional)
-Optional experiences in freight import/export management -(optional)General administrative duties such as organize skype conferences.
For all database management tasks, the successful candidate is required to process invoices by the deadlines set using our shared and most recent database implemented in Micrososft Access. Along side basic/intermediate skills required in Microsoft Access, Excel should also be an established asset to the candidate whom will require a brief knowledge of managing a shared spreadsheet.
The candidate should familiarise themselves with the process of mail merging to make processing the tasks efficient and less time consuming. Please note, even though this position requires bulk invoice processing, there will have to be a reasonable amount of manual editing to ensure that all invoices meet a set standard and all fonts and figures are formatted correctly.
The deadlines set would be conditional upon the workload set. The candidate would be assigned productivity points based on the timescale taken to complete each assignment. These points will be taken into account when issuing an extension of contract or assigning a further assignment.
A timestamp will also be provided so we can organize and assign each invoice batch to the freelancer. The candidate should also be aware of the current VAT rate and should have a general knowledge of why and when VAT is implemented to each sale made on an invoice.
For all freight management tasks, as the candidate will be dealing with goods sent for expatriates, majority of the freight management assistance will involve home and kitchen appliances parcels.
Candidate will NOT be required to deal with any wholesale goods, however will be dealing with single freight.
All appliances will be sent to the candidate's physical office address, whereby the candidate will update our shared spreadsheet we use, then once all information is updated, will forward the mail to our registered company address, which will be logged by our employees on receipt.
Please Note: All consignments or mail will have to be signed for on behalf of the expatriate the candidate will be assigned to.
Any parcels or mail forwarded would need to be sent out using First Class recorded postage for security reasons, which will be re-imbursed to.
The ideal candidate should have efficient time management skills and we require a candidate that can complete the task by 6pm daily.
We will usually send our updated spreadsheet on the end of each working day which is 6pm. We require that you are able to complete each task daily and all post is sent out by 5pm to reach us the next working day.
All freight/parcels will be only delivered by a reputable carrier which will be either DPD, UKMail or Royal Mail to ensure contents of parcels are fully legal and compliant with our terms and conditions.
Candidate may be required to attend an online skype conference and also required to visit us on site, all travel expenses will be re-imbursed.
